PRIVACY POLICY

APEX Athlete LLC (“APEX,” “we,” “us”) builds the APEX Athlete platform — the website, mobile apps, scoring tools, and live competitions that operate under the APEX brand. This policy describes what information we collect, why we collect it, who we share it with, and the choices you have.

Information we collect

Information you provide directly when you register for a competition, create an account, sign up for our newsletter, apply to officiate, or contact us:

  • Name, email address, and phone number.
  • Mailing address (when required for prizes or shipped goods).
  • Date of birth, sex/division, body weight, shoe size, shirt size, and Instagram handle (when you register for a competition so we can verify division eligibility and personalize your competition-day kit).
  • Athletic performance data — your results in the seven APEX events (Fast Forty, Max Toss, The Vert, The Broad, The Pull, The Push, The Mile) — both expected scores you self-report at registration and verified scores captured by officials at competitions.
  • Profile photo, if you upload one.
  • Payment information when you register for a paid competition or buy merch. Card details are submitted directly to our payment processor (Stripe) and are not stored on APEX servers.
  • Anything you put into chat messages, competition applications, or support emails.

Information collected automatically when you use APEX:

  • Device information (model, operating system, browser).
  • IP address and approximate location derived from it.
  • Usage data — pages visited, features used, error reports — to keep the platform stable and improve it.
  • Authentication cookies that keep you signed in, and a small set of functional cookies that remember preferences like dark/light mode.

Information from competition officials. At a competition, officials and tablets paired to APEX record your scores, check-in time, and waiver acceptance.

How we use your information

  • Run competitions: registration, payment, check-in, scoring, results.
  • Calculate APEX scores and surface leaderboards / record holders.
  • Communicate with you about your registration, account, results, and (with your consent) future competitions and marketing.
  • Process payments and fulfill merch orders.
  • Detect and prevent fraud, abuse, and security threats.
  • Comply with legal obligations.

How we share your information

We share information only with these categories of recipients:

  • Service providers who run the platform on our behalf: Supabase (database + authentication), Vercel (hosting), Stripe (payments), Resend (email), and analytics providers we use. They only receive the data they need to perform their function and are bound by contract to protect it.
  • Other athletes and the public see your name, athlete number, division, and results on competition leaderboards, live displays, and the Record Holders page when you compete. You consent to this when you register for a competition.
  • Competition officials and partners who help run the competition you registered for.
  • Legal and safety — we may disclose information when required by law, to protect rights or safety, or in connection with a merger, acquisition, or asset sale.

We do not sell your personal information.

Marketing communications

If you opt in to APEX marketing emails or SMS, you can opt out at any time by:

Transactional messages — registration confirmations, payment receipts, scoring results, account security alerts — are not marketing and continue regardless of marketing-message preferences while you have an active account or registration.

Cookies and tracking

We use a small number of strictly necessary cookies (authentication, CSRF protection) and a few functional cookies (UI preferences). We don't use third-party advertising cookies. Most browsers let you control cookies through settings; disabling authentication cookies will prevent you from signing in.

Data retention

We keep account information for as long as your account is active. Event registration and scoring records are retained indefinitely so historical record holders, season standings, and your personal history stay intact, unless you ask us to delete them. Payment records are retained as required by tax and accounting laws. Marketing-list entries are retained until you unsubscribe.

Your choices and rights

  • Access and correction — view and update most of your information from your account profile.
  • Deletion — email compete@apexathleteofficial.com to request deletion of your account. Note that publicly published competition results may remain on leaderboards under your athlete number for the integrity of the historical record; we will redact personally identifying details on request.
  • Opt out of marketing — see the section above.
  • State-specific rights — depending on where you live (California, Virginia, the EU/UK, etc.) you may have additional rights to access, port, or restrict processing of your information. Contact us using the email below to exercise them.

Children

APEX is intended for adults. We do not knowingly collect personal information from anyone under 13. If you are a parent and believe your child has provided us with information, contact us and we will delete it.

Security

We use encryption in transit (HTTPS) and at rest, role-based access controls on our database, and audit logging for sensitive admin actions. No platform is perfectly secure — please use a strong unique password and enable 2FA on your email.

Changes to this policy

We may update this policy from time to time. When we make material changes we'll bump the effective date at the top and, where appropriate, notify active users by email or in-app banner.
